An invoice is a commercial document issued by a seller to a buyer relating to a sale transaction and indicating the products, quantities, and agreed prices for products or services the seller had provided to the buyer. The payment terms are mentioned on the invoice.
This section records all the created invoices for different projects with their details in a tabular format. This includes details such as Invoice Number, Project Name, Client Name, Total Project Amount, Invoice Date, Payment Status, along with options for descriptive view, downloading, sending it to the client, editing of the unpaid invoices, the addition of payments, payment link, payment reminder for unpaid invoices, creation of credit notes of the paid invoices, and deletion of latest created invoice (any invoice other than the latest one cannot be deleted).
There are four options available on the top of the tabular data created, including Create Invoice, Recurring Invoice, Log-Time Invoice, and Export.
(1) Create Invoice: This option provides a pre-generated form wherein some details are to be fed in and the invoice will be created with ease. It requires details such as invoice number, invoice date, due date, currency, client details, project, taxation details, billing details, along with a note for the recipient. Once all the details are fed, the invoice can either be saved as a draft or saved and sent to the client directly depending on the choice chosen.
(2) Recurring Invoice: This section holds the invoice which is to be paid in divisions or even those which are to be repeated after a certain period. This allows automation of the invoice generation and reminder sending to the client at the time of their scheduled payments.
Using the "Add Recurring Invoice" option on the top left corner, one can add invoices that must follow the recurring task. The pre-generated form requires information such as invoice date, due date, currency, client details, project details, billing frequency, billing cycle, shipping address, billing details with a few additional features. Once the desired recurring invoice is created it repeats itself as per the instructions given to it.
(3) Time-Log Invoice: Time-Log Invoices are created based on the time that is logged in for the allotted tasks. When a new Invoice is created it requires the regular basic details including invoice number, project, client, invoice date, due date, currency, time log days slot, description, billing details, and the note for the recipient. These details can then be saved as an invoice.
(4) Export: The option available right beside the creation of invoices is for exporting the list for offline access.
If one wishes to look at a created invoice then they can click on the "INV#xxx" "hyperlink which redirects them to a window that has the complete invoice details. It includes details of both the parties, billing details, and additional information. The created invoice can be downloaded as per the requirements of the concerned parties else it is secure in the system's database available for access to both.
